How we collect, use and protect personal information while Cape Boat Club prepares to launch.

1. Who is responsible

2. What we collect

When you register your interest, we collect the information you provide: title, first and last name, email address, optional mobile number, skipper-certificate status, your connection to South Africa, optional boating frequency and previous boat ownership, and your separate email and WhatsApp/SMS choices.

We also record the time and status of your registration, email-confirmation and consent actions, the wording version you agreed to, and any withdrawal of consent. If a campaign link brought you here, we may record its UTM source, medium, campaign, content and term. Hosting and security services may process technical information such as IP address, browser and request details to operate and protect the site.

3. Why we use it

  • To process your registration of interest and confirm that you control the email address supplied.
  • To manage our pre-launch contact database and send the launch information, membership-availability updates, relevant Cape Boat Club news and surveys you requested.
  • To understand interest in the planned club and invite voluntary market research.
  • To answer enquiries, maintain consent and suppression records, and honour unsubscribe requests.
  • To operate, secure and improve the reliability of this website.

Marketing contact by email relies on your express, unticked checkbox and a confirmation step sent to your email. WhatsApp or SMS contact requires its own separate, unticked checkbox and a mobile number. Supplying a number alone does not grant that permission. You can decline optional questions and mobile contact and still register by email.

4. Email confirmation

Your registration of interest is first saved as an unconfirmed request. Before sending marketing email, we ask you to confirm your email address using a secure confirmation link and an explicit confirmation action. The on-screen receipt of your form is not email confirmation. If you did not register, you can ignore a confirmation email. Confirmation links expire. We keep consent and confirmation records so that we can respect your choices.

5. Who may process information

Our website is hosted on Netlify. Netlify Forms receives and stores registration requests and can email their contents to our authorised team at hello@myboat.co.za. Records will also be transferred to Ninox when that integration is active. Resend is the selected service for email-confirmation messages and will process the information needed to deliver them when configured. We share information with service providers only as needed for those services, and may disclose it where law requires. We do not sell the registration list.

6. International processing

Hosting, database or email service providers may process information outside South Africa. We will assess the location and applicable safeguards of each configured provider before activating registration and use measures required by the Protection of Personal Information Act (POPIA) for cross-border transfers. Contact us if you need details of the providers in use when you register.

7. How long we keep information

We keep pre-launch records while preparing the club and communicating with confirmed prospects. We review unconfirmed requests, Netlify Forms records, internal email notifications and Ninox records as the launch progresses, and remove information that is no longer needed, subject to legal obligations and limited suppression or consent evidence. These reviews are operational steps; deletion is not currently automated. You may ask us to delete or correct your information using the contact details above.

8. Your choices and rights

You can withdraw marketing consent at any time by using the unsubscribe link in a message or contacting hello@myboat.co.za. Withdrawing consent does not affect earlier lawful processing. We may retain a limited suppression record so that we do not contact you again.

Subject to POPIA and applicable exceptions, you can request access to personal information we hold about you, ask us to correct or delete it, object to certain processing, and complain if you believe we have handled it unlawfully. We may need to verify your identity before acting on a request.

9. Security

We use access controls and server-side handling for the registration database and email credentials. No internet service can guarantee absolute security. Please contact us promptly if you believe your information has been compromised.

11. Updates to this notice

We may update this notice as the service and its providers are finalised. A revised date and notice will appear here. Material changes to how we use confirmed prospects' information will be communicated where required.

12. Cookies and browser storage

We do not use advertising pixels or third-party analytics. Campaign parameters may be held in session storage for the current browser tab so they can accompany your registration. This storage contains campaign values, not your contact details. It normally clears when the tab is closed and registration remains available if browser storage is blocked.

After you confirm your email, a necessary, signed cookie lets this browser display your first name and confirmation status for ten minutes. It is not used for tracking. The silent background film is served directly from this website. It loads as its section enters view and can be paused. If your browser requests reduced motion, a still image is shown until you choose to play it.

Cloudflare is the intended DNS provider. In the selected DNS-only configuration, website and form traffic is served by Netlify. Cloudflare may process technical DNS query information when resolving the domain.
